Before mirroring a single record, we measured the gap.

THE CHALLENGE
Around fifteen field staff and four administrators ran reservations, maintenance and housekeeping out of a property system and a spreadsheet. Closing one maintenance task took eight to twelve touchpoints.
Instead of designing screens against that description, we read thirty days of work orders out of their own system. The median housekeeping order waited 114.6 hours before anyone processed it. Maintenance waited 1.3.
WHAT MADE IT HARD
The source system has no webhooks: every endpoint returned 404, so the integration polls backward from a watermark.
Work orders live behind two separate endpoints, and the system ignores a modified-since filter.
Work orders have no attachment endpoint. Files live on the reservation, and the platform writes them there.
WHAT WE BUILT
Nothing replaces the property system. All three streams are mirrored into one operational record, polled twelve times an hour, behind a crew mobile app and an admin dashboard.
A first note, photo or checklist tick on the phone moves the work order forward through a database trigger, so the rule lives underneath the screen. Photos are required when the row says so, and a health view counts stale orders so drift shows up as a number.
WHAT CHANGED
52,627 reservations, maintenance and housekeeping records mirrored into one system, 168 vendors matched to the units they serve, and 99.3% of the maintenance history backfilled.
Delivered, with mirroring live.
