NUTRACOAST
The CRM held 4,150 leads. It could say where three of them came from.

THE CHALLENGE
NutraCoast, an FDA-registered supplement contract manufacturer in St. Augustine, Florida, had an empty source field on 4,147 of 4,150 leads. $29,825 of search spend in ninety days could not be traced to a single lead.
Everyone suspected the website form was dropping leads.
THE INVESTIGATION
The form was measured three independent ways: 503 thank-you page visits against 488 leads over 78 days. The 3% gap is refreshes and bots. Cleared.
The real losses were where nobody had looked: paid social lead forms wired to nothing (392 leads), 2,710 leads owned by deactivated users, and about 405 bulk imports indistinguishable from inbound enquiries.
WHAT WE BUILT
Write it down first, forward it second. Every submission is written to an append-only intake ledger before it reaches the CRM, so a lead that fails to arrive becomes a visible discrepancy, not a rumour.
A lead record that can hold the answer: one custom field became 22, and the source list grew from 11 values to 18. Paid social forms are polled every two minutes and delivered to the CRM. A watchdog and reconciliation compare ledger and CRM.
Alongside, the same team is building the production and inventory platform that replaces their inventory system: scan-based receiving, quarantine by default, full lot traceability and an urgency-ordered buy list.
WHAT CHANGED
427 paid social leads captured: 415 delivered to the CRM and 12 held as duplicates, none unaccounted for. 414 of the 415 carry the exact paid social source.
Leads on departed users went from 2,710 to 2, and those two are converted and locked.
